You do not need a finished specification to start.

A good first conversation is easier when the customer can explain the problem, users, current systems, data, security needs and desired outcome. Use this checklist to prepare.

Business Problem

  • What process are you trying to improve?
  • What is slow, manual, duplicated or hard to control today?
  • What result would make the project successful?
  • Is there a deadline or business event driving the work?

Users

  • Who will use the system?
  • How many users are expected?
  • Where do they work—office, field, shop floor or customer site?
  • What roles and permissions are different?

Current Systems

  • What software, spreadsheets or databases are used today?
  • Which systems must remain?
  • Which systems need integration?
  • Is legacy data expected to move into the new solution?

Devices & Connectivity

  • Web browser, Windows, tablet, phone or multiple device types?
  • Is offline operation required?
  • Are cameras, scanners, signatures or other device features needed?
  • Are there site/network restrictions?

Security & Data

  • Does the project require SSO or MFA?
  • What information is sensitive?
  • Are audit logs or approval history required?
  • Are there customer, regulatory or internal security standards to evaluate?

Commercial & Support

  • Is there an expected budget range?
  • Who approves the project?
  • Does procurement require an NDA, MSA, PO or vendor onboarding?
  • What support and hosting model is expected after launch?
